The South Whidbey Community Center offers affordable rooms and facilities for nonprofits, educators, artists, and small businesses looking for a place to host programs, classes, services, and events.

Upper Gym
Use is limited to athletic and recreational activities only. Tables, chairs, or similar equipment are not permitted on the gym floors at any time.
Multipurpose Gym
Athletic and recreational activities are prioritized. Upon approval tables and chairs may be used for gatherings

FACILITY RENTAL RATES:
Classrooms
Nonprofit Rate:
Per Hour: $20
Full Day: $100
General Community Rate:
Per Hour: $30
Full Day: $150
Includes members of the public who would like to rent the facilities for, but not limited to, family gatherings, book club meetings, birthday parties, etc.
Corporate Rate:
Per Hour: $50
Full Day: $250
This includes profit-making and business-related enterprises.
Gymnasiums
Use of the upper gym is limited to athletic and recreational activities only. Tables, chairs, or similar equipment are not permitted on the gym floors at any time. Upon approval chairs and tables may be used in the multiple purpose gym
Nonprofit and Youth Serving Organizations Rate:
Per Hour: $25
General Community Rate:
Per Hour: $30
Includes informal community based sports leagues.
Outdoor Spaces
PARKING LOTS:
Custodial fees apply to all user groups if restroom access is utilized and is determined based on the size of the group.
FIELDS:
The fields are public spaces and we do not currently rent them with the exception of the field off of Camano Ave toward the Fairgrounds. This location can be reserved for event parking. Please inquire at info@southwhidbeycommunitycenter.org for pricing.
Nonprofit and Youth Serving Organizations Rate:
Per Hour: $0
Approved use includes parade staging and other free events open to the community.
General Community Rate:
Per Hour: $30
Includes informal community based sports leagues.
Payment
After your rental request is approved, you will receive an invoice to the email provided on this form from the South Whidbey School District. This email will include payment instructions. Cash or a check made out to "South Whidbey School District# 206" are accepted.
Custodial Fees
Mon - Fri: $35 per custodial hr
Sat: $53 per custodial hr
Sun: $70 per custodial hr
Based on activity and number of custodial hours required for cleaning. Set up and tear down of the spaces is the renter's responsibility. Applied custodial costs will be determined at the time of reservation approval and will be based on the type of usage (i.e. is food being served, are there materials that require vacuuming), number of people (bathroom usage estimate), etc..
Reporting Physical Facility Problems

After-hours emergencies (such as water leaks, flooding, or safety hazards) must be reported immediately to the Facilities Department at 360-221-6100.

Cancellation Policy
Classroom & Parking Lot:
Classroom and Parking Lot cancellations or changes to reserved dates and times must be submitted one week in advance of the scheduled use to avoid charges. Cancellations made within 72 hours will be billed at 50% of the cancellations made within 24 hours will be billed at the full rate.
Gymnasium:
Cancellations require two weeks notice to avoid fees.

Insurance Requirements:
* Proof of insurance is required to secure your rental. The Community Center property is owned by South Whidbey School District.
The Certificate of Insurance, naming South Whidbey School District (property owner) as an additional insured, must be received within 3 days prior of the reservation being secured. . Liability insurance with a minimum of $1,000,000 per occurrence is required.

We know this is a barrier to some individuals who may wish to rent and we hope to find a solution, but there are currently NO exceptions to this requirement. Some insurance carriers offer Event Liability Insurance, which can cover individuals and organizations who don't have general liability insurance.
Gym Rental Procedure & Use Guidelines
1. Permitted Use
Use of the upper gym is limited to athletic and recreational activities only. Tables, chairs, or similar equipment are not permitted on the gym floors at any time.
2. Rental Request Requirements
All renters must submit a completed Gym Rental Request Form, including:

Requested dates and times
-
Primary contact person
-
Proof of insurance
Incomplete forms will not be processed.
3. Availability & Scheduling
Gym rentals are available on a limited basis due to existing ongoing programs held in both the multipurpose room and the upper gym.
4. Priority of Use
Existing ongoing users and youth serving are given priority scheduling. However, no dates or times will be reserved without submission and approval of a completed rental request form.
5. Fees & Pricing
Rental prices are subject to change based on cleaning, maintenance, and facility upkeep costs.

Once a reservation is accepted, the approved rate will be honored for that reservation.

Any future price changes may affect subsequent rental requests.
6. Advance Requests
Rental requests should be submitted well in advance of planned programming to improve the likelihood of securing preferred dates and times.
7. Responsible Party Requirement
A designated responsible adult or authorized representative for the renting group must be present on site for the entire duration of gym use. This individual is responsible for compliance with all Gym Rental Procedures & Use Guidelines and serves as the primary point of contact for facility staff.
8. Cleaning & Facility Reset Responsibilities
Gym users are responsible for cleaning up after their activities and returning the space to its original condition at the conclusion of their scheduled time. Custodial services are not currently included or offered as part of the gym rental fee schedule, and staffing is not available to provide cleanup support between programs. This responsibility is essential to maintaining the facility for all users. Custodial fees may be charged depending on the size of the group in order for the restrooms to be adequately maintained.
At the conclusion of each scheduled use, gym users must:

Remove all trash and personal items from the gym and dispose of waste in designated receptacles.

Wipe down any equipment or surfaces used, if applicable.
-
Return all equipment to its original storage location.
-
Ensure floors are free of debris, spills, tape, or residue.
-
Restore the space to its original setup prior to use.
-
Vacate the gym at the scheduled end time to allow for the next program.

Ensure all doors are securely locked if vacating after Community Center hours.
Failure to comply with these requirements may result in additional charges, loss of future rental privileges, or review of continued facility use approval.
9. Cancellation & Change Policy
Cancellations or changes to reserved dates and times must be submitted at least two (2) weeks in advance of the scheduled use to avoid charges. Requests received with less than two weeks’ notice may be billed according to the approved rental rate.
10. Emergency & Facility Issue Reporting
During gym use, the responsible party for the renting group must report facility issues as follows:
